FAQ

You can use your product to compete for the title PromZ Promotional Product of the Year 2022. All free of charge!

Promotional Product of the year Awards
Get attention from all PromZ.live visitors (and PromZ Magazine readers) and send in your product. Click here to fill out your entry.

How does it work?
Very easy, you click the link above and fill in everything. Via newsletters we call on people to vote for the various products. You can of course also do this yourself amongst customers, acquaintances and friends.

You then send the product to our office (Veerdijk 40-I, 1531 MS Wormer – The Netherlands) and we will place it in in the GadgetZone, where visitors can also vote during the event. We will announce the winners during the reception at the end of the exhibition day. And of course all winners will be mentioned in the PromZ Magazine published after PromZ.live.

Judging is done in 7 categories:

Custom made booth
Did you hire ‘space only’? For a custom made booth we like to recommend you Vleugel stand construction, contact person Benjamin Kamerling; benjamin@vleugel.nl.

Free (own) stand construction
Unless agreed otherwise, free construction concerns the rent of floor space only. Things like electricity, carpeting, etc. should be arranged by the exhibitor.

Please note: it is mandatory to make use of your own stand walls (that, if visible, must also be neatly finished off at the side of neighbour stands) and to lighten your booth sufficiently. For control reasons we also request for your stand drawing (sketch).
Deadline 21 April. Please also see “Construction height”.

Construction height
The maximum height of the booth can be 2.50 meters. In some cases this can be higher, but only 1 meter from the neighbours or with neighbour permission. Note; booths that are not situated at the sides of the exhibition floor can never be higher than 3,50 meters. Besides that the free height (see ‘Height hall’) in the hall should be taken into account. At all times permission in writing by the organisation is obligatory for all items and constructions higher than 2.50 meters.

Height hall
The free height inside the hall varies per location. When in doubt, please contact us. The transport door on the front side is 440 wide x 600 high. The roller door on the side (halfway) is 440 wide x 525 high.

Specialist street
Within the Specialist Street you show one specific product or one product group. Do you have a counter in the Specialist Street? Then think about sending us your wall visual (size 97×140). For specifications, please check your confirmation.

Your unit is including shelve table with two bar stools, carpeting (green tiles) and lunch. Note! When placing items around the shelve table, please take your neighbours into account when placing high items or taking away the view from adjacent exhibitors.

Premium standspace
The premium stand space is including full-colour canvas ‘wall(s)’, fascia, duospot on a rail, electricity including usage (up to 1kW), 1 socket, carpet tiles anthracite, full service catering including lunch. Note! Exclusive furniture! For specifications of the ‘wall’ canvasses, please check your confirmation.

Turnkey standspace
The turnkey stand space is including white wall panels, fascia with name board (max. 20 characters including spaces), duospot on a rail, electricity including usage (up to 1kW), 1 socket, carpet tiles anthracite, full service catering including lunch. Note! Exclusive furniture!

Fascia / Stand listing (only for the Turnkey standspace)
Above your booth you will get a name listing. Your text of choice can have a maximum of 20 characters including spaces. Wish for a name of more than 20 characters? That’s possible at an extra charge. For delivering your fascia name, please check your confirmation.

 

Catering
PromZ offers you the lunch for you and your stand crew. There is nothing you have to do, catering will drop it off at your booth. We also offer drinks at the PromZ Lounge where these should also be consumed. Please note! You have to be able to show your exhibitor badge to get your lunch and the drinks at the PromZ  Lounge.

Like refreshments at the booth? Then please order stand catering.

Sampling and/or stand catering

Wish to sample food/drinks or have your own catering point during the exhibition? Then please request for permission at monique@hetportaal.com or +31 (0)75-6475747.

 Construction
The location is open for construction and decoration at:
Wednesday 11 May 15:00 – 21:00 and Thursday 12 May 08:00 – 10:00

(Keep in mind that if you come to set up on Thursday before the opening of the fair and something is unexpectedly wrong with the stand, it can no longer be adjusted (there is no stand builder on site).

Please note: During construction and dismantling, costs for removing stand waste and, as for (system) stand construction, residues as well as damage will be charged on to the exhibitor.

Dismantling
The removal of goods must take place on Thursday 12 May 20.00 until 23.00 hours. Dismantling outside these hours only after consultation with the organization.

Do note! The stand constructor will start taking down the booths directly after the event. The organization is not responsible for loss, damage and/or theft of anything.

Please note! Materials/items ordered through the organization and/or stand constructor have to be delivered clean directly after closing hours.

Please note! Starting with deconstruction earlier is not very neat, not for co-exhibitor, but also not for your prospects who still are on the exhibition floor. Therefore, we will invoice you with € 50,00 for starting earlier. This amount will be donated to a charity of our choice.

Please also note that during construction and dismantling costs for removing stand waste and, as for (system) stand construction, residues as well as damage will be charged on to the exhibitor.

GadgetZone
Products you have delivered us to display in the GadgetZone can be picked up at the event during dismantling until 20.30 hours. Someone of the organization will be there to help you. Please note! After 20.30 hours the products will be taken away. From that moment on you can no longer claim these products.

The organization is not responsible for loss and/or theft of the products.

Exhibitor badges
Exhibitor badges for access to the fairground should be obtained via Eventmaker. You will receive information on this separately.

Showing your exhibitor badge your lunch will be offered to you at your booth. Depending on your booth size you can order a maximum number of names.

Flyers
Do you wish to spread flyers during the event? Please ask for permission. It is not permitted always and/or everywhere.

Hanging points (inside the hall)
Wish to hang up lighting, eye catchers or otherwise above the booth? In that case you are obliged to make use of chains. Not everywhere rigging is possible, so please contact us for more information.

Music
Wish to make noise/sound or play music during the exhibition? This is approved at your own booth, as long as surrounding booths don’t have a problem with that. Other ideas? Please contact us.

Sampling (products)
Wish to sample your product during the event? Ask for permission. Sampling is not permitted always and everywhere.

Invite (your relations VIP)
Make sure your own relations visit as VIP’s. As VIP your relations make use of and free drinks at the PromZ Lounge. You will receive more information on this subject.

Furniture present in the booth
Free (own) stand construction – no furniture

Please look into your stand confirmation for the full content of your booth or counter/unit and any agreements that have been made.

Mounting /attachment options
Wish to attach objects to your wall panels? You can borrow special hooks at the organisation. A limited number in various sizes will be there.

Please note: Costs for removing residues as well as damage will be charged on to the exhibitor. Therefore, drilling, hammering or anything else that will damage the wall panels is not allowed.

Regulations PromZ.live
The conditions for participation in ‘PromZ.live’ (hereinafter to be called; the exhibition) are set out in the participation conditions, as well as in the “Reglement voor Exposanten” (Regulations for Exhibitors) for participation in fairs and exhibitions organized by Het Portaal Uitgevers B.V. The participation conditions can be found here.

Also take the extra corona protocols into account.

 

Delivery of goods / logistics
Large packages and/or pallets with goods on behalf of your booth can be sent through our
logistics partner CEVA Logistics. Ask for information when you need details.

The exhibition is open for visitors:

PromZ.live takes place at Autotron.
Address: Graafsebaan 133, 5248 NL Rosmalen (’s-Hertogenbosch), The Netherlands.

Parking costs € 8,00 per car (pin only).

Signage will be placed on the site by Autotron to guide exhibitors to the correct parking space.

Parking is free during construction.

During the trading day, the costs for this are € 8 (pin only).

Carpet
The Turnkey and Premium booths have anthracite carpet tiles and the units in the Specialist Street have green carpet tiles. Did you hire ‘space only’? You can order your carpet tiles at www.ebgverhuur.nl.

Electricity
The Turnkey and Premium booths have electricity (contact box with 2 sockets) included in the price inclusive usage up to 1kW. Need more than 1kW? Did you rent ‘space only’ or did you hire a unit in the Specialist Street? Then please order your electricity in time.

Gas cyclinders
When you use gas cylinders you have to report this in advance. Supplies need to be stored in a special gas storage outside, where sealed cylinders can be stalled.

Impregnation
The fire department orders to impregnate all combustible material (such as cloth, straw, etc.).

The Turnkey and Premium booth have 1 duospot on a rail. Lighting is placed standard. You can aim/direct the spots yourself.

Units in the Specialist Street have a lighted visual.

Lighting
Extra lighting can be ordered with the organization. Replacing the lighting can be done at extra charge. It is not permitted to replace lighting yourself.

Rigging
Wish to hang up lighting, eye catchers or otherwise above the booth? In that case you are obliged to make use of chains. Not everywhere rigging is possible, so please contact us for more information.

Security
Do you have valuables inside your booth? In that case you might want security for those moments you are not there yourself. In case necessary, ask us for stand security.

Stand  cleaning
You are responsible for a clean booth yourself. A vacuum cleaner can be loaned at the organization situated at the entrance of the hall.

Visitor scan app
The Eventmaker visitor scan app, available for IOS and Android, makes it easy to collect visitor data and share digital items with your booth visitors. With the app it is easy to make notes or follow up tasks. And after the event you easily download your leads. You don’t pay any (additionals) costs for this. You receive separate information on this subject.

Waste
Cost for (stand) waste that’s left behind (during construction and/or dismantling) and/or hard to remove tape/wall paper on system wall panels, as well as damage to the booth will unfortunately be charged to the exhibitor. Items for waste disposal are sufficiently present.

Water
When you make use of a dishwasher etc. you should order a water connection for each machine/device. A water connection can only be realized at limited locations. Please take that into account.
